Privacy Notice
Last updated: May 2026. This notice explains what data Gridly collects, how we use it, and how we protect it.
§ 1 — Who We Are
Gridly is an education technology platform that generates crossword puzzles from uploaded textbook content. The platform is operated by Gridly ("we," "us," or "our"). For privacy-related inquiries, contact us at contact@gridlyapp.org.
§ 2 — Information We Collect
Account information. When you create an account, we collect your name, email address, school or institution name, subjects taught, and grade levels. This information is provided voluntarily during signup.
Uploaded content. When you upload a textbook chapter, we process the text to extract terms and generate puzzles. Uploaded files are stored temporarily for processing and deleted from our servers within 24 hours of puzzle generation.
Generated puzzles. If you save puzzles to your library, the puzzle data (grid layout, clues, answer key) is stored in your account. The original uploaded chapter is not retained — only the extracted puzzle data.
Usage data. We collect anonymized usage analytics including pages visited, features used, puzzles generated, and export formats chosen. This data is aggregated and cannot be used to identify individual users.
§ 3 — How We Use Your Information
We use collected information to operate and improve the platform, generate puzzles from uploaded content, communicate with you about your account and the beta program, and analyze aggregated usage patterns to guide product development. We do not sell, rent, or share your personal information with third parties for marketing purposes.
§ 4 — Uploaded Content & Intellectual Property
You retain full ownership of any content you upload to Gridly. We do not claim any intellectual property rights over your textbook chapters, extracted terms, or generated puzzles. Uploaded content is used solely to generate your puzzles and is deleted within 24 hours. We do not use uploaded content to train models, build datasets, or improve our algorithms beyond the immediate puzzle generation task.
§ 5 — Student Data
Gridly is a teacher-facing tool. We do not collect, store, or process student data. Students interact only with printed puzzles or shared digital links. If a student completes a puzzle via a digital link, no personally identifiable information is collected. We do not create student accounts or profiles. We are committed to compliance with applicable student data protection laws, including FERPA and COPPA.
§ 6 — Cookies & Tracking
Gridly uses essential cookies required for authentication and session management. We use anonymized analytics to understand how the platform is used. We do not use advertising cookies, retargeting pixels, or third-party tracking scripts. You can disable non-essential cookies in your browser settings without affecting core platform functionality.
§ 7 — Data Security
We implement industry-standard security measures including encrypted data transmission (TLS), secure server infrastructure, access controls, and regular security reviews. While no system is completely immune to risk, we take the protection of your data seriously and respond promptly to any identified vulnerabilities.
§ 8 — Data Retention
Uploaded textbook chapters are deleted within 24 hours of processing. Account information is retained for as long as your account is active. Saved puzzles are retained in your library until you delete them or close your account. Anonymized usage analytics are retained indefinitely in aggregated form.
§ 9 — Your Rights
You may request access to your personal data, correction of inaccurate data, deletion of your account and associated data, or a copy of your data in a portable format. To exercise any of these rights, email contact@gridlyapp.org. We respond to all requests within 30 days.
§ 10 — Changes to This Notice
We may update this privacy notice from time to time. Material changes will be communicated via email to registered users and posted on this page with an updated revision date. Continued use of the platform after changes constitutes acceptance of the revised notice.
